Office Administrator
YOU ARE a confident and capable Office Administrator with great time management and bookkeeping skills. You can whip schedules and files into shape, keep busy consultants focused and organized, and wrangle bookkeeping work into submission -- all while keeping a smile on your face.
WE ARE three consultants running three small, interconnected companies -- and we need your help! Working from our offices at Bloor & Avenue Road, you will handle all the bookkeeping (invoices, payments, and banking), manage our busy workflows, answer phones, and provide admin support.
Responsibilities
- Manage bookkeeping and banking
- Handle emails, phone calls, paperwork, all office stuff, and mail
- Manage schedules and make travel arrangements
- Represent our companies to contractors, vendors, and clients
- Work closely with us and our virtual teams to ensure smooth work flow
- Maintain a positive, professional, and highly efficient work environment
- Highly organized with attention for detail (one of us is “particular”)
- Proven independent problem-solving abilities
- Strong MS Office computer skills (Outlook/Entourage, Excel, Word, PowerPoint – Mac proficiency preferred)
- Accounting/bookkeeping experience
- Excellent written and verbal communication abilities
- $28,000 to 36,000/annually (commensurate with experience)

Project Manager
Key Responsibilities
- Manage the budget, schedule, and team for a project
- Serve as primary point of contact for client
- Use Basecamp to manage project data, files, and communications
- Work with all team members to complete tasks within budget and schedule
- Review all work for conformance to Highspot quality standards and style guides
- Assess the quality of all writing and editing work; provide structured feedback to editorial team members
- Resolve any challenges with team members or their work
- Provide regular status reports to client and Highspot management
- Complete all administrative filings (ISBN, CIP, etc)
We’re looking for personable and organized people with strong editorial skills rather than technical project managers. If you are a senior writer or editor who is new to project management, we are willing to train.
Your Qualifications
- You have good written and verbal communication skills, and work well with various types of people and personalities. You are firm when necessary, yet diplomatic.
- You have strong editorial skills.
- You can juggle multiple components of a project simultaneously and still never miss the tiny details.
- You work well remotely, by phone and email, from your own office. Our clients are scattered all across North America, and our teams are made up of freelancers in diverse locations.
- You have your own computer (Mac or PC), phone and long-distance plan.
- You have some experience with the print production process.
- Experience with book publishing is ideal though not necessary.
- You are available during business hours. Even though this is a freelance gig, you need to be available for client contact during the day.
- Some in-person team meetings in downtown Toronto are required. Therefore, preference is given to candidates within a 2-hour commute of the city.
